We’re looking for a Company Secretary Administrator to join us on a 12‑month fixed‑term contract, based in either Haywards Heath, West Sussex or Salford Quays, Manchester.

You’ll play an important role in helping the Secretariat function deliver high‑quality governance across the Group. From coordinating meetings and managing statutory records to supporting regulatory filings and handling information requests, you’ll be at the centre of keeping everything on track. Your organisation, accuracy, and proactive mindset will make a real difference to how efficiently the team operates and how well we meet our corporate governance responsibilities.

Core skills we’re looking for to succeed in the role:

  • Administrative & organisational strength – able to manage multiple processes, keep accurate records and maintain strong document and version control.

  • Understanding of board & committee dynamics – aware of director roles, availability and decision‑making rhythms to support effective scheduling and coordination.

  • Governance support experience – experienced in meeting preparation, logistics, circulating papers, tracking attendance and supporting minutes and follow‑up actions.

  • Professionalism & confidentiality – confident handling sensitive information and acting as a trusted first point of contact for internal and external enquiries.

What's Involved:

  • You’ll provide day-to-day administrative support to the Company Secretariat team.

  • Maintain well organised digital and physical filing systems for corporate documents, minutes, approvals, and statutory records.

  • You’ll manage shared inboxes, allocate queries, and ensure timely responses to internal and external information requests.

  • You’ll prepare general correspondence, briefing papers, trackers, and reports as required.

  • You’ll schedule and coordinate Board, Committee, and subsidiary meetings, including logistics, diary management, venue arrangements, and technology support.

  • You’ll assist in the preparation and distribution of meeting packs, agendas, and supporting papers.

  • You’ll maintain attendee lists, track RSVPs, and manage documentation circulations.

  • You’ll support minute-taking activities by preparing templates, capturing attendance, and assisting with version control and distribution.

  • You’ll support the upkeep of statutory registers, corporate records, and entity data using the entity management system (e.g., Diligent Entities or similar).

  • You’ll assist with the preparation and submission of routine statutory filings (e.g., confirmation statements, director updates, share-related filings), under supervision.

  • You’ll track key compliance deadlines and support the team in ensuring timely completion.

  • You’ll act as a first point of contact for internal and external enquiries, escalating where necessary.

  • You’ll coordinate information requests from auditors, regulators, and internal stakeholders.

  • You’ll maintain confidentiality and ensure sensitive documents are handled securely and appropriately.

  • You’ll assist with workflow management, process improvement exercises, and departmental planning.

  • You’ll help maintain CoSec policies, templates, and governance frameworks.

  • You’ll support onboarding and offboarding of directors, including documentation, induction materials, and system access.

Skills and Experience:

  • Strong administrative and organisational skills, with excellent attention to detail.

  • Ability to manage multiple tasks, prioritise effectively, and meet deadlines.

  • High level of professionalism, discretion, and confidentiality.

  • Strong written and verbal communication skills.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Experience in a corporate, legal, governance, or professional services environment.
